Who we are

Full Cycle RCM provides outsourced medical billing and revenue cycle management services to healthcare providers. When we handle protected health information on behalf of a provider, we act as a business associate under HIPAA, governed by a signed Business Associate Agreement with that provider.

What we collect

• Enquiry details you submit through this website: your name, practice name, email address, phone number, specialty, approximate claim volume and anything you write in the message field.
• Claims data a prospective or current client sends us for an audit or for ongoing billing. This may contain protected health information.
• Chat messages you type into the assistant on this site.

We do not ask for patient information through this website, the chat widget or ordinary email, and we ask you not to send it by those routes.

What we use it for

Enquiry details are used to prepare your audit and respond to you. Claims data is used only to deliver the billing services agreed with your practice. We do not use your data for any other purpose without asking you first.

What we never do

• Sell, rent or trade your data.
• Use your practice data to train AI models, ours or anyone else’s.
• Add you to a marketing list because you asked us a question.
• Share one client’s figures with another, named or anonymised.
• Withhold your data, or charge you to get it back, if you leave.

The chat assistant

The assistant on this site is automated, not a person. Messages you type are sent to a third-party language model provider to generate a reply. Do not enter patient information or any other confidential detail into it. If you need to discuss something sensitive, use the contact form and we will reach out through an appropriate channel.

Retention and deletion

We keep enquiry details only as long as needed to respond and to maintain a record of the enquiry. Client claims data is retained as set out in your service agreement and Business Associate Agreement. You may ask us to delete your information at any time and we will, apart from records we are legally required to retain.

Your data, and getting it back

Your practice owns its data. You may request a full export at any time, including when terminating services, at no charge.

Security

Access to client data is restricted to staff who need it, and access is logged. Data is encrypted in transit and at rest. If a breach affects your data we will notify you without unreasonable delay, as HIPAA requires.

Cookies and analytics

This site sets no advertising or tracking cookies. If we add analytics we will update this page before doing so.
